Time tracking and billing for legal support firms

Sell hours to law firms in monthly packages or prepaid blocks. Each law firm gets a portal where it can see its remaining hours, the work done and its invoices, and buy more hours.

The problem

Law firms ask for their balance and for the detail behind each invoice

A law firm that buys 40 hours a month wants to know how many are left before it sends more work. When the invoice arrives, it wants every entry: the date, the matter, who did the work and what was done, in tenths of an hour. Without a portal, someone on your team answers these questions by email.

How it works

How Timebun works for legal support firms

Hour packages and time tracking

Hour packages

Set up each package once with its hours per month, quarter or year, and its price. Unused hours can expire at the end of the period, roll over for 3 or 12 months, or never expire. Prepaid blocks of hours have their own expiry date. See retainers.

Time tracking by matter

Create a project for each matter. Track time with a timer or enter it by hand. Billable time can be rounded up to 0.1 hours, and the original time is kept. A memo field adds a longer description to the invoice line.

Activity codes and expenses

Activity codes are your standard task descriptions. They appear as you type and become the entry's description. Expenses such as filing fees and couriers are logged with a receipt and a category, and billed at cost. Activity codes, step by step.

Invoices and payment

Invoices

Select the matters and the date range, and Timebun creates an invoice from all unbilled time. Each line shows the date, matter, person, description, hours and rate. Time already covered by a package is not billed again. The law firm receives the invoice by email with a Pay invoice button and a PDF.

Payment reminders

Send one reminder before the due date and several after it. Timebun checks Stripe before each reminder, so a firm that has just paid is not reminded. Emails are sent as "Your Firm via Timebun".

Client portal and statements

Client portal

Each law firm sees its remaining hours, each block with its expiry date, its timesheet by matter with a CSV export, its invoices and its statements. It never sees rates, costs, internal notes, non-billable time or running timers. Everyone you invite can buy hours. See the client portal.

Low-hours alerts

When a law firm's balance falls to the level you set (5 hours by default), Timebun emails the firm a Buy hours link and notifies your team. The firm buys more hours in the portal and pays through Stripe. The hours are added when the payment clears.

Monthly statements of hours

Send each law firm a statement monthly or twice a month. It shows the opening balance, hours added, hours used by matter and the closing balance, with the entries attached as a CSV. Statements, step by step.

Messages

Each law firm has one message thread with your team in the portal. Internal notes are not visible to the firm.

FAQ

Frequently asked questions

Does Timebun export LEDES files or UTBMS codes?+

No. Timebun does not produce LEDES files, and entries have no UTBMS code field. You can add your codes as activity codes, such as "L120 Analysis/Strategy." The code then sits in the entry's description. It prints on the invoice line, in the firm's portal timesheet and in the time CSV exports.

What does the law firm see of our time?+

Finished, billable entries on the matters you show them: the date, matter, person, description and billed hours. Rates appear only on invoices. Costs, internal notes, non-billable time and running timers never appear.

What happens when a law firm uses all its hours?+

Your team can keep tracking time. Hours beyond the balance are billed as overage on the next invoice, at the firm's hourly rate. The firm gets a low-hours alert before that, at the level you set.

Can the firm's accounts payable get invoices without a login?+

Yes. Add the address as a contact marked Receives invoices. It gets invoices, reminders and statements by email, without signing in.

Can a law firm pay by check or wire?+

Yes. Invoices are paid online through Stripe. You can also record a check, ACH, wire or cash payment on the invoice. Once it is paid in full, reminders stop.

Can we bring our history from another tool?+

From Harvest, the import brings clients, projects, people, tasks and time entries. One real migration carried 18,861 time entries. From any other tool, we'll help you move.
